This policy explains how we handle personal information when you use supportnotes.com.au (the "Service"). We follow the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth). By using the Service you agree to this policy.
1. What we collect
- Account details: your email address (used for passwordless sign-in) and, if you tell us, your name.
- Onboarding answers: your role, work setting, English comfort, note types and similar preferences — used to tailor your notes and understand who uses the Service. These describe you, not your participants.
- Notes you save: if you are signed in and choose to save a note, we store the finished output only, with detected first names removed. We do not store the raw notes you type in.
- Usage data: counts of notes generated, timestamps, IP address and basic device/browser info, for security and to operate the free/paid limits.
- Payment data: handled by Stripe. We never see or store your full card number; we keep a Stripe customer reference and your plan status.
- Messages: anything you send via our contact/feedback form or chat (including any email you provide).
2. What we do NOT store
- We do not retain the raw note text you paste in to be polished.
- We do not require, and ask you not to enter, participant identifiers such as full names, NDIS numbers, Medicare numbers, addresses or dates of birth. An "anonymise names" step removes detected first names before any save.
- We do not sell your information, and we do not use your notes to train AI models.
3. How your notes are processed
When you generate a note, the text is sent to our own AI model running on a server located in Australia and the result is streamed back to you. The text is processed in memory to produce your note and is not sent to OpenAI, Anthropic, Google or any other third-party or overseas AI service.
4. Your participants' information
You are responsible for the information you enter and for having any consent required by your employer, your participants, or the NDIS Code of Conduct. We recommend you use initials or first names only and avoid identifying details. The Service is a writing aid — you remain the author of, and responsible for, every note.
5. How we use information
- To provide and improve the Service, including tailoring your notes to how you write.
- To manage your account, free/paid limits, billing and support.
- To keep the Service secure and prevent abuse.
- To send you essential service emails (sign-in links, billing notices). We will only send other emails if you opt in.
6. Who we share it with
We share the minimum necessary with service providers who help us run SupportNotes: Stripe (payments), our email provider (sign-in and notices), and our Australian hosting. We may disclose information if required by law. We do not sell personal information.
7. Storage, security & retention
Data is stored on Australian infrastructure and protected with reasonable technical and organisational measures. We keep account and saved-note data while your account is active and delete it on request (see below). Note: keeping records for your own compliance (for example, retention periods that apply to NDIS registered providers or aged-care providers) is your responsibility, not ours.
8. Your rights
Under the APPs you can ask us to access, correct, export or delete your personal information. Email [email protected] and we'll action it. You can delete saved notes yourself in your account at any time.
9. Cookies & analytics
We use a sign-in cookie to keep you logged in, and we keep basic, privacy-respecting usage measurements on our own Australian server. We do not run advertising trackers.
10. Children
The Service is for care and health workers and is not intended for anyone under 16.
